Writing Effective Business Thank-You Notes

One of the best ways to maintain great relationships with key customers, vendors, or associates is the classic thank-you note. This polite reminder of just how much you value a particular relationship can be just the touch you and your business need to maintain valuable relationships. The following are some pointers to keep in mind when drafting a business thank-you card or thank-you note.

Keep it professional - Even when dealing with regular clients, you should always maintain an air of professionalism. Use your company letter head and make sure to include a business card. Address the recipient by his or her proper name and use language that is in keeping with a real professional.

Include your details - Don't assume that the recipient still has your info on file. Make sure to include your full name, title, direct line, email, etc. What's the use of maintaining a connection, if the other party doesn't know how to reach you? Make sure they can actually contact you if they want to!

Be specific - Make sure that you reference the specific scenario or event that has inspired your thanks. Remember, people are busy and can easily forget even the most significant occurrence. Also, showing that you remember the event clearly will help the recipient feel that he or she is valued by you— a sure-fire way to enhance your business relationship.

Don't be long-winded or purplish - Keep it simple and direct. Don't wax poetic. This is business, after all. A straightforward "thank you" and simple narrative will get the point across sufficiently.

Try hand-writing a section- As long as you use a professional structure like your company letterhead, handwriting even just a section of your note- like a post script- can be the added little touch that not only makes the letter more effective, but also makes it more likely to be read.

Once you've mastered these easy tips and incorporated thank-you cards and notes into your business repertoire, you'll start seeing results right away. It's amazing what a bit of civil and polite discourse can do! Thank-you notes will keep customers and clients loyal, and make your business look great.
