Document Storage - Is it part of your disaster recovery plan?

Submitted by marksheldon

Many people and businesses see Document Storage as a quick fix to get rid of old documents for their office, but they realise the importance of keeping them for auditing purposes.

To this end, arranging Document Storage can sometimes feel like a bit of a ‘chore' and is often at the bottom of peoples lists of things to do.

However, lets take a slightly different approach to Document Storage. Strictly speaking, Document Storage acts as a backup for your historic documents. Not only through physical offsite storage, but also through the possibility of storing your documents on an online system.

An off-site document storage facility will offer you secure premises protected in a purpose built environment. This means that the conditions within the building are maintained at an optimum level to retain the quality of your documents, and that the storage areas are being monitored and secured by closed circuit CCTV (and in some cases physical security guards aswell).

So, in the event that you were to have a bit of a disaster at work and you needed to urgently recover some documents from the document storage company, you could give them a call (or probably fill in a request on their web site) and arrange to collect the documents you need to either make copies or withdraw the originals whilst you need to access the data.

To this end document storage facilities are priceless. Unfortunately for many businesses disaster recovery isn't a thought until disaster strikes, and 99% of the time that is usually too late.

If you don't currently use off site document storage, and have your archives located on your premises then now might be a good time to consider the switch. Such a move will also go down well with your auditors who should suggest that historic records are kept off site (or at least in a different building) to live files anyway.

Document Storage isn't as expensive as most people think (its often cheaper than the floor space rental it takes up). So don't delay. Kick start your disaster recovery and document storage procedures today!

Based in the UK Secure Data Management provide Document Storage services with a focus on customer retrieval and 30% cost. You can also now can buy Document Storage Boxes online through their dedicated web site.
