With our careers and day-to-day routines becoming more and more hectic, we generally look forward to parties in order to relax and have a great time. It is essential to carry out a splendid event no matter how big or small the occasion, because guests made the time in their schedules to come and give you their undivided attention. Guests expect to be pampered and have a good time and it is the responsibility of the Party Planner to make sure that happens. Summer gives rise to outdoor events such as Company picnics, weddings, house warming parties, Mitzvahs, QuinceaƱeras, golf parties, retirement parties and so much more. To avoid a haphazard disorganized event which causes guests to go home early with disappointment, it is important to keep certain planning factors in place. The painstaking attention to detail and project management combined with event design, make Party Planning both an art and a science.
All Party Planning begins with the venue. The functionality and versatility of the venue will affect how successfully you as a Party Planner, can pull off a good party. A Party Venue you select needs to be equipped for all the elements needed to accommodate the arrangements you've planned. If you plan to put up lighting and there are no electrical outlets available that would create a big problem. There are of course ways around this, most Party Planners use portable generators to provide electricity for venues that don't have electricity sources. However, if that's the case the arrangements to rent a generator or any other equipment must be on your list of things to do, and may add too much additional expense to your client. If your event will be outside, it is necessary to secure a backup plan for any sort of sudden change in weather that would spoil the event. If you think rain or thunderstorms are a possibility, putting up a tent or having a section of the party indoors may be a good idea. Party Planning requires you to prepared for any situation, so your event will be a sensation. Ensure your back up plan will work for all your guests. The last thing you want to experience is a cramped situation at the party. Preparations for your backup plan should be well made so guests can make an easy transition without being disrupted from having a good time. Lighting arrangements should be determined according to the square feet to cover the entire area. Event lighting is important. It all depends on the time of day and how much light would be required. The venue should not look too bright or it will be harsh on the eyes of your guests. In order to achieve ideal lighting, it is best to turn the ambient lighting down to a glow and light all important elements: cake, buffet, gift table, bar, dancefloor, while using uplights on the walls to re-enforce your color scheme. Food should coordinate with the theme of the event. The menu should include something for everyone. The kind of food you order for the event should depend on the guests invited. Younger crowds enjoy a creative variety of cuisine. If your guests are more of the older generation, they generally indulge in lighter smaller meals. If you are having children at the event, make sure you have kids meals. They are low cost, and make a huge difference for the children attending. If your guest list includes elderly cardiac and diabetic patients their medical requirements must be taken into consideration while choosing the food. As a party planner deciding how you will serve the food to your guests is just as imperative as the food itself. Most parties, caterers serve to each table of guests or a Party Planner can choose to place a buffet table where guests can walk up and serve themselves. If your guest list is large you might consider placing two or more buffet tables so as to allow a smooth flow of people to and from the food tables. It's very annoying to wait in a long queue for your food so be certain that is not something your guests will experience. If you are having an outdoor event keep in mind that some foods get spoiled in the sun. Food containing mayonnaise if left too long in the sun can spoil. It's best to serve in the shade or a sheltered area, such as a tent, if your Party Planning is for a day event outdoors. A well planned party will be an absolute success ensuring you a positive outlook on your Party Planning reputation.
