Five Proofreading Paper Suggestions

Any written material needs to be proofread before submission, since there is always a possibility of errors occurring while writing. The paper should be revised thoroughly for any mistakes that might occur. The mistakes could be in spelling, grammar and construction. The whole effect of the paper that is handed in should be good.

The paper should be proofread to make the whole paper read clearly with no errors. Some of the errors that occur are: spelling mistakes, homonyms that cause errors, grammar - subject verb agreement, punctuations, words that have been left out, words that have been typed twice, words that have been spelled only half, so that the other half is left out. All these errors can be corrected if proper proofreading is done.

There are five suggestions that can be followed to make the paper error free.

1) After the paper is written a time of at least a day should be given, before proofreading it. This will make us review the paper impartially and we will be able to catch the mistakes that have been committed. If we read it at once, we know what we have written and this will interfere in the proofreading process. Our mind should be free and we should concentrate entirely on the work at hand. So, we should not have any distractions also.

2) The paper should be typed ‘double spaced', to make for easier reading. This will help us to see each word separately. Everything will not be jumbled up and cluttered and hard to read. Easy reading will itself make us catch the mistakes that have been made. The whole paper can either be viewed on the computer screen or a print out can be taken. Sometimes, it is easier to catch a mistake on the print out rather than on the computer screen.

3) On the print out, you can keep a blank paper and read each word and each line very carefully, paying attention to the spelling, the homonyms, the grammar, the subject verb agreement, the punctuations etc. which will help us to spot all the errors in the paper that would otherwise go unnoticed.

4) Sometimes reading aloud will help us catch some of the mistakes that we will not be able to see when we read it silently. Some errors, like, the sentence not being grammatically correct or some words being missed, can be easily spotted when reading aloud.

5) While typing your paper you can use all the advantages of the computer and use the spell check and the grammar check to correct the paper. However, we should also spot the errors and not rely completely on this. We can read backwards, (even though it will not make sense) to catch errors in spelling. We can circle the punctuation marks and then correct it, so that we are sure of the corrections. We should make the paper more readable by using the right type of font, the right type of table or color to highlight different points to make the paper more effective. The paper will become clearer and effective after all this is done.

Proofreading is a process that needs to be done with utmost concentration and care. Each and every word, in each and every line should be checked thoroughly. Not only the spellings, but also the clarity of the paper should be looked into. These suggestions will help you to proofread with care, so that the paper is read thoroughly to catch all the mistakes that have been committed. The ultimate aim it to make the presentation readable and clear without errors.
